Workshop Cancellation Policy

Photography experiences built around flexibility, transparency and respect for everyone involved.

INTRODUCTION

This Cancellation Policy outlines the terms relating to workshop bookings, private photography experiences, mentoring sessions and custom travel experiences offered by Johny Spencer Photography.Because many experiences involve travel, accommodation planning, location permits and limited availability, cancellations can significantly impact scheduling and preparation.By booking a workshop or photography experience, you agree to the terms outlined below.

01. BOOKING DEPOSITS

A non-refundable deposit may be required to secure your booking.Deposits help cover:

  • planning

  • scheduling

  • administration

  • itinerary preparation

  • location research

  • reserved dates

Unless otherwise stated, bookings are not confirmed until the deposit has been received.

02. PARTICIPANT CANCELLATIONS

If you need to cancel your booking, the following terms generally apply:

More than 60 days before start date

Eligible for a partial refund excluding the non-refundable deposit.

Between 30–60 days before start date

Partial refunds may be offered at our discretion depending on planning, accommodation or travel commitments already made.

Within 60 days of start date

Bookings are generally non-refundable. If possible, we may offer:

  • Transfer to another workshop

  • Future booking credit

  • Rescheduling options

Any transfers or credits remain subject to availability.

03. PRIVATE & CUSTOM EXPERIENCES

Custom workshops and one-on-one experiences often involve extensive planning and reserved time.Because of this:

  • Deposits for custom experiences are generally non-refundable

  • Cancellation terms may vary depending on the nature of the booking

  • International or multi-day experiences may require separate agreements

Specific cancellation details will always be discussed before confirming your booking.

04. WEATHER & NATURAL CONDITIONS

Photography experiences are built around nature, light and changing conditions.Weather, access conditions and environmental factors may require adjustments to:

  • Locations

  • Timing

  • Shooting plans

  • Itineraries

These changes are considered part of the experience and do not automatically qualify for refunds.Whenever possible, alternative locations or plans will be provided.

05. CANCELLATION BY JOHNY SPENCER PHOTOGRAPHY

In rare circumstances, workshops or experiences may need to be postponed or cancelled due to:

  • Severe weather

  • Safety concerns

  • Natural disasters

  • Illness

  • Travel restrictions

  • Unforeseen circumstances outside our control

If this occurs, participants may be offered:

  • Rescheduling options

  • Workshop credit

  • Partial or full refunds where appropriate

We are not responsible for:

  • Flights

  • Accommodation

  • Travel insurance

  • Third-party expense

  • Personal costs incurred

For this reason, comprehensive travel insurance is strongly recommended.

06. TRAVEL INSURANCE

Participants are responsible for arranging their own travel insurance where appropriate.We strongly recommend insurance that covers:

  • Cancellations

  • Tavel disruption

  • Medical expenses

  • Weather events

  • Lost or damaged equipment

07. REFUND PROCESSING

Approved refunds will generally be processed using the original payment method.Processing times may vary depending on payment providers and banking institutions.
